Copy & Print Services: Shared Accounts

Shared Accounts 

Shared Accounts apply to all PaperCut-related activities, they represent a grouping or department that share a singular balance of printing credit. Users (Staff and Faculty specifically) are assigned access to Shared Accounts, to which they utilize the account for Monochrome copying/printing. The following content is specific to different types of personnel within the institution:

 

Faculty Members

Faculty Shared Accounts

Faculty Members (FMs) have access to two types of accounts: Personal and Shared Accounts. Shared Accounts are departmental spending pools that FMs can access depending on the courses they teach. Typically FMs will only have one Shared Account to which they are granted access, however exceptions do exist:

  • If the FM teaches in other programs (i.e.: A Design Faculty Member that also teaches a Liberal Arts, Graduate or Continuing Studies course)
  • If the FM also holds a research position within the institution
  • If the FM is otherwise employed/contracted by another department within the institution

In these cases, the FM will be given access to the Shared Accounts that apply to them.

Using Faculty Shared Accounts

Faculty Members have the option (upon MFD/copier login and desktop print send/release) to select the appropriate account. This applies for every instance, and must be specified to ensure accurate billing. For example, if a FM intends to copy syllabus for their Design Course, they must login and specify the 'Faculty of Design' Shared Account upon login for the appropriate documents, etc.

Staff Members (Student/Temp/Contract included)

Staff Shared Accounts

Staff Members have access to two types of accounts: Personal and Shared Accounts. Shared Accounts are essentially their departmental print account, set to a limit determined by their Office Manager/Budget Holder. 

Using Staff Shared Accounts

Staff Members have the option (upon MFD/copier login and desktop print send/release) to select the appropriate account. This applies for every instance, and must be specified to ensure accurate billing.

Please Note:

  • Personal Accounts represent personal expenditure towards Copy & Print Services products by Staff/Faculty Members and cannot be 'reimbursed' by their Office. 
  • Office Managers/Budget Holders reserve the privilege to remove a Faculty/Staff Member from their Shared Accounts list if they have exorbitant amounts of printing have been reported.
  • As with the previous Account configuration, Shared Account usage is restricted to Monochrome Copying/Printing.
