Zoom How to Scheduling a Meeting

Tip: All Zoom attendees must have Zoom client or app installed to participate. Please notify your attendees in advance. 

Note: If you are scheduling a meeting for another user, select Enable join before host under meeting option. Only hosts can grant access into a meeting, screen share and end meeting. 


Sign on to Zoom (https://ocadu.zoom.us/) select Schedule a Meeting link (located on the top right corner).

The following screen will appear.

1 a. Add meeting details (Topic, Date, Duration) and choose from the following Zoom options.  

Under Video (when joining a meeting), set the default video setting to ON or OFF for host and or the participants. This option can be changed during the meeting.

Under Audio, choose how participant connect their audio, by telephone, VoIP or both. if you are unsure how participants will be connecting, choose Both  

Under Meeting Option
Select Enable join before host, if you are creating a teleconference meeting or if you are scheduling a Zoom meeting for another user. Note Basic accounts will only allow the meeting duration to 40 minutes with 3 to 100 participants.  

Under Calendar option select Outlook. 

1 b.. Click Save button 


2 a. Confirming your Zoom meeting details on the following screen

2 b. Select Copy the Invitation link and copy and paste details into Outlook meeting.
 

*If you intend to schedule many Zoom meetings, please contact IT Services to install a Zoom add-on to your Outlook desktop client. 

 

Setting up a Quick Zoom meeting

Sign on to Zoom (https://ocadu.zoom.us/) and Select Host A Meeting link (located on the top right corner or orange icons from the Zoom client) and choose one of the options from the drop down menu and your Zoom meeting will begin shortly.  

To invite attendee, select Invite icon (located on the bottom tool bar) and invite participants using the Invite by Contact tab or Invite by Email tab.
